Job Description:
ESSENTIAL JOB DUTIES: Greet visitors, assist and answer telephone calls to determine the nature of the guests request and refer them to the appropriate agency employee or provide the needed information relating to parks visitor services. Provide backup to switchboard and other Divisions as needed. Provides a variety of clerical support functions including typing memos, legal documents and permits; compiles and reviews information to complete Division logs and account payables for correct coding, contact park area regarding proper documentation ensuring State Policies and Procedures are being followed and applied. Collect information to generate monthly reports as necessary; sorts and distributes mail and prepares mailings, arranges meetings, and completes filing. Process temporary bi-weekly timesheets for payroll. Process hiring and termination paperwork for all temporary employees with accuracy and completeness, and create timesheets to distribute to the field staff. Assist in data entry and updates of Parks documentation as needed. Oversees Parks Division entry and conference rooms. Order and maintain inventory of supplies for Parks Division. Assist with projects from Parks Administration as needed.
REQUIREMENTS: Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; research; or areas related to the programs and functions of the employing agency. OR Experience in performing administrative/office/secretarial support work including use of personal computers and office equipment.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES: Ability to communicate effectively in person, by telephone, computer, email, and correspondence with co-workers, government officials, and the public to exchange information, ideas, and apply agency guidelines and policies; locate, investigate, analyze relevant documentation and summarize information from manual and electronic files. Knowledge of Microsoft Excel, Word, Power Point, and Business associated Software preferred. Ability to determine scope and priority of
personal work assignments adding skilled attention to detail in written and oral business communications. Operate personal computer, printer, copier/fax machine, calculator, multi-line telephone system, and lift and move up to 35 pounds.
