Position Summary:

This role is critical to the execution and management of the day-to-day operations of the Facilities and Office Services functions of the organization’s headquarters on-site in Irvine, CA. The Facilities Manager will ensure functions operate with the requirements of all local, state and federal requirements. The position will be responsible for all facility operational functions with the assigned building and accompanying tracks located around the facility. This individual works with appropriate stakeholders to plan for the changing needs of the organization and directs the space and facility needs of the office, this includes safety, space design and planning, utilization, renovation, maintenance, office relocations, lease management and event support on site. This role will have managerial responsibilities for our shipping and receiving department located in Irvine, ca.

Essential Functions of this Role:

The essential duties and responsibilities of this position include, but are not limited to:

  • Oversee location, planning, equipping and maintenance of office facilities including space, furniture, fixtures, and equipment.
  • ensure all preventative maintenance and reactive work order requests are scheduled and performed in an efficient and cost-effective manner.
  • Evaluate frequently the efficiency of operational procedures according to organizational objectives and apply improvements.
  • Manage day-to-day integrated facilities management services as well as operational reliability of building including operating systems (mechanical, electrical, plumbing, fire/life/safety, etc.) and overall workplace environment.
  • Troubleshoot equipment malfunctions and works with repair technicians for remote or onsite service for office and support area equipment.
  • Manage various roll out projects assigned to the Facilities team such as minor-refresh, small works projects, painting, signage, fixture rollout, lighting retrofits, facility closures, office/workstation moves, etc.
  • Perform facilities management services including copy, fax, records services; negotiates, analyzes bids, and monitors service contracts with vendors.
  • Oversee/make recommendations for adding/divesting space, and for location and relocation of employee offices.
  • Responsible for managing optimal service delivery; routinely reviews and evaluates service delivery standards.
  • Initiate and supervises facilities-related projects, teams and personnel as required; manages projects and renovations including budgets and schedules for completion of work.
  • Oversee physical security of office space; manages access control contract and vendors.
  • Ensure adherence to quality standards and health safety/OSHA regulations.
  • Review of current vehicle fleet to determine which vehicles are under-utilized and should be sold.
  • Put in place a tracking process for all vehicle maintenance and key milestones (registration, etc)
  • Work with HVAC vendor to get on-line portal completed (with maps, heating/cooling schedule)
  • Work with security vendor to ensure correct contacts for off-hours, security system access, SOP for security response.
  • At times, based on the needs of the business, emergency or on-call hours will apply.

Work Environment:

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands:

  • May be required to work more than 8 hours during a workday.
  • Sitting for long periods of time
  • Ability to lift to 25 lbs.
  • Significant manual dexterity for keying in data for long periods of time
  • Exposure to outside elements (track, roof, parking lot, etc.)

Expected Hours of Work:

  • Required to work some evenings, weekends, and holidays.

Travel:

  • Possible International travel

Required Education, Experience and Skills:

  • Bachelor’s degree in business, Organizational Psychology or related field
  • Broad range of knowledge of various elements of the retail store chain including, but not limited to building structure, walls and roofing, HVAC systems, electrical power systems, lighting systems, plumbing systems, fire protection and safety systems, utility systems, trash/waste management, general maintenance, facility improvements, etc.
  • Outstanding verbal and written, computer & communication skills: Outlook, Excel, Word, and related software applications.
  • Proven problem resolution capabilities, ability to work in high stress, multiple task environment.
  • Proven ability to motivate the team to a customer centric service department, as well as outstanding interpersonal skills.
  • General knowledge of lease negotiations, abstracts, vendor negotiations
  • Ability to be flexible, adapt to changing circumstances and to take a solution-focused approach to situations.

Pay Range:

$69,700.00 - $104,500.00

The actual annual salary offered to a candidate will be based on variables including experience, geographic location, education, and skills/achievements, and will be mutually agreed upon at the time of offer.
