Job Summary:

Main duties include office support in product purchasing, data entry of products, management of invoices and delivery slips, and answering e-mails and phone calls with business partners.

Key responsibilities and duties:


Purchase:

  • Building good relationships with suppliers.
  • Managing purchase orders for goods, ensuring accuracy, and tracking delivery schedules.
  • Providing assistance to buyers and merchandise accounts manager.
  • Entering product information into the systems.
  • Finding and checking out potential suppliers.
  • Handling any product defects or issues that arise
  • Preparing required reports and attending meetings to assist with minute-taking
  • Responding to vendor inquiries via email and phone

Account:

  • Entering and assisting with the entry of delivery slips and invoices into the accounting system
  • Filing and organising delivery slips, invoices, and other related documents
  • Ensuring all accounts payable are entered by the deadline
  • Facilitating communication with the accounting team regarding any issues or questions

General support:

  • Translation or interpretation from English to Japanese as required
  • Order and manage store fixtures, furniture, office supplies, and other necessary equipment
  • Managing incoming calls, directing them to the relevant individuals, and taking messages as needed.
  • Organizing business trips to trade shows and events, including managing schedules and handling travel expenses


Requirements: Intermediate or higher level of Excel (Pivot, Vlookup, Sum), Native level of Japanese, Conversational level of English

Welcomed: Experience in office work, knowledge of ski and snowboard products, Ability to actively pursue self-improvement and ongoing professional growth.


What you’ll need to succeed

To be successful as a Retail Administrative Assistant you must be able to work with minimal supervision and have excellent communication skills. A basic understanding in the industry of ski/snowboard products, general knowledge of ski/snowboard equipment, and experience in working in a retail store is  also necessary. You will need to demonstrate strong proficiency in both English and Japanese language in areas such as speaking, reading, writing, and listening. Strong computer skills especially in Microsoft Office Suite, Google Business applications, as well as Xero, is also expected.
